Files
Files
One place for every document you keep.
Your company's own folders and every project's files, drawings and specifications live in one system. Open a document from Files or from inside its project and it's the same record: change it in one place and the other shows it at once.
Files is free in every seat. 30 file types open in place, including PDFs, drawings (DXF), IFC models, Word and Excel files, images, video and audio.
Organize and share
Folders and permissions
Folders to any depth, for the company and for each project. Grant view, view and download, upload, edit or full control to a role, a person or a trade partner; folders inherit from the one above, with any override shown. Preview exactly what a person will see before you share.
Versions and compare
Upload a file with the same name and it becomes the next version, with who, when and a note. Restore an older version, or compare two: PDFs overlay with the differences colored, and documents show a text comparison.
Check-out
Take a file to work on it and everyone else sees who has it and since when. Checking it back in makes the new version.
Search
Find a document by name, tag, type, folder, author, date or project. Results show only what the person searching may open.
Copy between projects
Copy a file or folder from one project, or from the company folders, into another. The copy records where it came from, and can be kept in step: when the original gets a new version, the copy says so and updates with one click, never on its own.
Templates
Mark a file or folder as a template. Templates fill in the project name, address, client, number and your own fields when they're added to a project, and a project folder template gives every new job the same starting structure.
Connected to the job
Linked to records
Link a file from an RFI, submittal, daily log, punch item, safety record, transmittal or site map pin, and the file lists every record it's used in.
Activity record
Each folder and file keeps a record of uploads, versions, moves, permission changes, downloads and links. Opening a restricted folder, downloading or exporting a file, and every change to who can see a folder are recorded, and your owners and admins can review and export it.
Recycle bin and legal hold
Deleted files can be restored for 30 days. A project on legal hold can't have its files purged or permanently deleted.
On a phone
Browse, open, mark up and add photos and scans from the field. Star a file to keep it on the phone for offline use; the copy is removed at the next sync after the person signs out or loses access, and files from restricted folders can't be kept offline.
Reviews, sets and packages
Reviews and approvals
Send a file or folder for review by one person, in sequence, in parallel, or to any one of a group, with due dates on the project calendar. Reviewers approve, approve with comments or reject with mark-ups, and the result is stamped on a new version.
Stamps in your words
A full library of review, receipt and issue stamps, from Reviewed and Approved as Noted to Revise and Resubmit, For Bid and Issued for Construction. Every stamp carries your company's name, the reviewer, the date and the version, in wording your company can edit.
Naming rules
Set a naming pattern for a folder. A file that doesn't fit waits in a holding area until it's renamed, with a guided rename and bulk rename.
Custom fields
Add your own fields to a folder's files, such as discipline, status or a date, then filter, search and export by them.
Sheets and sets
Upload a multi-sheet drawing PDF and it splits into sheets, reading the sheet number, title, revision and date from the title block for you to confirm. Group sheets into sets such as Bid, Permit or Issued for Construction, and compare sets to see what was added, removed or revised.
Follow and download
Follow a folder or file to hear about new versions and reviews. Download a folder as a ZIP with a manifest of every file and version, and an optional cover sheet on your letterhead.
Stamps, review packages, cover sheets and manifests carry your company's name and letterhead, not Jig's.
